Terms of participation for trade visitors - Pow Wow Berlin Brandenburg 2012
Please note that participation in Pow Wow Berlin Brandenburg 2012 will be charged with 100.00 € plus VAT per person. In this fee all parts of the programme as well as the costs for the overnight stays are included. If you select the post tour to Brandenburg with an extra overnight stay, an additional amount of 50.00 € plus VAT per person will be charged.
Pow Wow Berlin Brandenburg 2012 is open for decision makers in the field of leisure & business travel as well as in the small MICE segment who represent more than 150 travellers / participants per year. Please note that we can only admit trade visitors who have completed the qualification form and who meet the requirements of Pow Wow Berlin Brandenburg 2012.
An accompanying person (accommodation only in participant’s double room) is welcome to take part in the entire programme; an amount of 100.00 € plus VAT will be charged also for this participation. If you select the post tour to Brandenburg with an extra overnight stay, an additional amount of 50.00 € plus VAT per person will be charged.
Terms & Conditions – Registration & Participation
It is our aim to arrange you an interesting programme and a pleasant stay in Berlin and Brandenburg. Unfortunately, past events showed an increasing number of trade visitors who do not arrive without prior cancellation (no show). You as trade visitor and we as organiser need to combat such behaviour. Therefore we hope for your understanding that we need a financial guarantee. Your credit card will only be debited within the terms and conditions.
The participation fee of 100.00 € plus VAT per person includes the following services:
- two overnight stays (03.02. – 05.02.2012) including breakfast at a hotel in Berlinnetworking evening in Berlin
- workshop day with a minimum of 8 appointments
- participation in one of the offered topic tours of your choice
- evening event in Brandenburg
- optional: post tour to Brandenburg. If you select the post tour to Brandenburg with an extra overnight stay, an additional amount of 50.00 € plus VAT per person will be charged.
- food & berverage during the official programme
ALL other costs and incidental expenses are borne by the participant, e.g.: additional overnight stays, mini bar, telephone, pay-TV, private transfers, extra food & beverage, individual arrival and departure etc. If one of the offered transfers is missed, the additional costs for a private transfer have to be paid by the participant.
Your participation in Pow Wow Berlin Brandenburg 2012 is non-transferable. Should any circumstance arise whereby you have to cancel the participation after 13th January 2012, you may request to substitute another person from your organisation. If that person meets the qualification criteria, the cancellation charge is not applicable to the original trade visitor. If the substitution is not accepted by the organiser, the usual cancellation terms apply to the original visitor. Participation in Pow Wow Berlin Brandenburg 2012 is at your own risk.
Please note that Pow Wow Berlin Brandenburg 2012 is an event to market the region Berlin-Brandenburg. We kindly ask for understanding that the sale of own services of any kind is not permitted through the trade visitor and - if so - the accompanying person. In every case of noncompliance a penalty of 300.00 € plus VAT will be charged and the involved person will be excepted from the event.
Photos of the event Pow Wow Berlin Brandenburg 2012 will be used and published for promotional purposes (e.g. press releases, evaluations, reviews, etc.). Objections must be submitted in writing to the organising company pcma gmbh.
Terms & Conditions – Cancellation & No Show
Your participation can be cancelled in written up to 13th January 2012 free of charge. The cancellation is accepted if a written confirmation by the organiser is received. After this date we debit your stated credit card with the participation fee of 100.00 € plus VAT per registered person or 150.00 € plus VAT per registered person in case you choose the post tour to Brandenburg with the costs of an extra overnight stay. The participation fee of the trade visitor and the registered accompanying person will not be refunded after 13h January 2012.
Cancellations received after 30th January 2012 or non-attendance (no show) to Pow Wow Berlin Brandenburg 2012 will incure a processing fee of 75.00 € plus VAT per person (trade visitor and - if so - accompanying person) additional to the withheld participation fee.
In this connection we also can not consider any cases of disease, short term changes of dates or similar. This kind of risk can be covered by taking out a travel cancellation insurance on your own.
Your participation in the official parts of the programme and the compliance with the appointments will be checked by the organiser. The processing fee of 75.00 € plus VAT per person will also be charged additionally to the participation fee if you do not attend the official programme (see below) after having embarked on the journey.
Official part of the programme (obligatory for the trade visitor):
- networking evening in Berlin, 03.02.2012
- workshop day with a minimum of 8 appointments, 04.02.2012
- participation in one of the offered topic tours of your choice in Berlin, 04.02.2012
- evening event in Brandenburg, 04.02.2012
- if booked, post tour to Brandenburg, 05.02.2012
The accompanying person may take part in all parts of the programme; the attendance is not obligatory.
